Industry Exhibition and Booth Construction
All booth dimensions and placements are specified in the floor plan. The maximum booth height is 2.90 meters.

Any visible outer walls must be designed neutrally and may not display company logos or similar branding.

The booth concept should be open and inviting, meaning no barriers or more than one sidewall are allowed.

Setup

Booth setup can commence on June 25, 2025, starting from 2:00 PM. Individual setup times will be staggered and assigned based on booth location and accessibility individually with each exhibitor. Early setup is not permitted.

Dismantling

Booth dismantling may only take place after the event has concluded. This is scheduled for Friday, June 27, 2025, at 4:00 PM.

Compliance
Due to repeated violations of dismantling times in previous years, and the disregard of official event organization instructions, we will impose a contractual penalty of €5,000 for any breaches of the dismantling schedule.

Exceptions: Individual arrangements may only be made directly with the event organization and must be explicitly approved.

Power supply at exhibition booth
To guarantee your power supply, please let us know your requirements at epcm@medconcept.org. The latest date for ordering is June 23, 2025

Loading and Unloading
Special loading zones are available directly at the hotel for setting up your exhibition stand. Please note the following guidelines:
The loading zone is located at Entrance B at Tiergartenstr. 2, 20355 Hamburg.

Loading and unloading are time-restricted (maximum 30 minutes).
Unloading times will be assigned to each sponsor individually. Please move your vehicle promptly after unloading to make space for other exhibitors.

If you are transporting larger amounts of material, please contact the hotel or event management in advance for further assistance.

Liability and Waste Management
Exhibitors are responsible for any damages they may cause, especially to the floor, ceiling, walls, and doors

Each exhibitor is responsible for compliance with local fire protection laws.

Exhibitors must manage their own waste disposal.
Charges may apply if the organizer must take care of the exhibitor’s waste disposal.

Escape routes
Escape routes and emergency exits are to be kept unobstructed and accessible at all times.

Disposal
The hotel reserves the right to charge Euro 85.00 / 1m3 for large amounts of packaging material or other waste left behind. A small waste bin and the daily collection of the waste is included in the space rental.

Signage
Posters, placards, or other items may be fixed to the walls of the meeting rooms, foyer, or other rooms only after consulting with the congress organizer.

Decoration
For any decorative materials brought along by the exhibitor, an official certificate must be shown verifying that the goods fulfil the fire prevention requirements.
