Advertisements in the Congress Program
If your sponsoring package includes advertisements in the congress program, please note the following deadlines:

1/2-page 210x147 mm (A5) horizontal/landscape format with 3 mm bleed on each side

Please provide advertisements in both profiles.

 

Banner of your Satellite Symposium Program
If included in your sponsoring package, you are allowed to use one roll-up banner to advertise your satellite symposium program.

The roll up banner can be placed either next to the registration desk or within the industrial exhibition and is only permitted on the day of your satellite symposium.

E-Blasts
If included in your sponsoring package, you can send your advertisement email to each pre-registered attendee (e.g., promoting your exhibit or satellite symposium). Please send a ready-made email in HTML format, along with all necessary graphics, by September 11, 2026, to eortc-cltg@medconcept.org. You will receive a test email for final confirmation before distribution.

Important:
Please send an HTML file in which the images are already integrated via their external URLs, so that the HTML file only references the image paths. The images used in the email must therefore be embedded in a way that they are loaded through the corresponding external links (i.e., hosted externally and not included as attachments or base64).

Additionally, the fonts used in the HTML must be limited to the following options:

  • Arial

  • Comic Sans MS

  • Courier New

  • Georgia

  • Lucida Sans Unicode

  • Tahoma

  • Times New Roman

  • Trebuchet MS

Please note: Two correction loops are included in the price. If the sent file is still displayed incorrectly or does not work, €500 will be charged for each additional correction loop.

Dates for sending the e-blast are possible by individual arrangement, except on the congress days.

Flyers
Your staff may hand out invitation flyers in the congress area during the coffee or lunch break that directly precedes your symposium.
You are allowed to hand out invitations and promote your symposium from your exhibition stand throughout the whole meeting.

For sustainability reasons, we strongly recommend considering this decision carefully.

Flyers on Display
There will be a designated area near the registration desk where flyers (up to DIN A4) can be displayed.

For flyers not delivered within the mentioned time or with the incorrect mailing address, MedConcept GmbH cannot take any responsibility and cannot provide a refund.

Bag Inserts
The congress bag will include giveaways and/or marketing material (like pens, key holders, bottles, etc.).
Please refrain from flyers or similar materials (for sustainability reasons).

It is important that you label your bag inserts clearly as “EORTC 2026 - Bag Inserts” and with your company name and contact details so that we can identify your insert among all other shipments.

Promotional Slides/Videos
If you have booked a promotional slide/video during the breaks, please prepare the file in wide-screen (1920x1080).
The file must be forwarded by September 11th, 2026 toeortc-cltg@medconcept.org via wetransfer or else.  Please do not forget to include your company name in the file's name.
