Terms and Conditions of Participation – As of January 2021

To ensure your participation in the course, we recommend registering early.

Registrations are processed in the order in which they are received.
Registration must be made in writing or electronically (fax, email, post, or online at www.medconcept.org). Registration is a one-time process. If a continuing education program consists of several course cycles (e.g., BNGO Curriculum "Oncology" and "AGO Certification Course"), one-time registration is binding for all included course cycles.
By registering, participants accept the following terms and conditions as binding:

  • The participation fee (charged per course cycle for continuing education programs like the BNGO Curriculum "Oncology" and "AGO Certification Course") and any additional service fees related to the event must be paid in advance and immediately upon receipt of the invoice without any deductions to the account specified in the invoice. The invoice also serves as confirmation of the contract.

  • If the payment is not received within 4 weeks of the invoice date, the registration will expire, i.e., the contract is concluded under the resolutory condition of timely payment. Re-registration is possible.

  • If registration takes place less than four weeks before the start of the event (or for continuing education, before the respective course cycle), the participation fee and any applicable additional service fees must still be paid in advance. At the latest, this can be done on-site, although this may incur higher fees.

  • Withdrawal from registration (excluding the right of withdrawal for consumers) must be made in writing or electronically (fax, email, post).

    • For withdrawal up to 4 weeks before the event (or course cycle): 100% of fees are refunded minus a processing fee of €30.

    • For withdrawal between 4 and 2 weeks before the event: 50% of fees refunded.

    • For later cancellations, no-shows, or early termination: Full fees must be paid.

  • Substitution by another person is allowed. Substitution is free of charge if notified at least one week before the event (or respective course cycle). If notified later (7 calendar days or less before the start), a processing fee of €30 will apply.

  • Any costs arising due to participant error (e.g., incorrect bank or credit card details) may be charged to the participant.

  • We reserve the right to reschedule, cancel, change the location, or conduct the event (or individual course cycles) as a hybrid or virtual format if circumstances beyond our control occur (e.g., speaker illness, force majeure, insufficient number of participants). We may—but are not obligated to—hold the event digitally in whole or in part.


Special Circumstances – Force Majeure

It is assumed the event will take place in person. If, due to a pandemic situation as defined by the Infection Protection Act (IfSG) or other unforeseen circumstances (especially force majeure), the event cannot take place at the scheduled location, we reserve the right to:

  • Reschedule the event,

  • Change the venue, or

  • Conduct the event on the scheduled date as a hybrid or virtual event.

Participants have no right to cancel the contract for these reasons. We are not obligated to hold the event in a digital (hybrid) format under force majeure.

Force majeure also includes:

  • Government recommendations (domestic or international) not to hold the event (e.g., due to virus outbreak, terrorism alert),

  • Government-imposed restrictions making the event economically unfeasible,

  • Comparable events in neighboring regions being canceled at the same time,

  • Health risks (e.g., someone involved shows symptoms requiring exclusion per RKI or governmental guidance, and cannot be reasonably replaced),

  • Denied entry due to symptoms or official mandates,

  • Claims of illness (must be confirmed by a medical certificate),

  • A significant number of participants or staff canceling due to extraordinary events, affecting the character of the event,

  • Cancellations due to "reverence" (e.g., serious accidents in the area, public mourning).

Registered participants will be informed of changes (rescheduling, cancellation, format change) as soon as possible using the contact details provided at registration.

If the event is canceled, participation fees already paid will be refunded. If converted to a hybrid or virtual event, only the actual costs of unused accommodations will be refunded. Other costs or claims (especially for damages) are excluded.

If the event was originally announced as hybrid and must be held entirely virtually due to force majeure, participants have no claim for refund (except for accommodation costs) or damages.


AGO Certification Course

For the AGO Certification Course, the following also applies:
To receive the AGO certificate, a TED final exam is conducted after all course cycles. Participants are entitled to one free retake.


Organizational Notes – As of January 2021

By accepting the terms and conditions, the participant also acknowledges the following organizational notes:

  • Photos may be taken during the event. These may be used commercially and made public for advertising purposes.

  • The hygiene rules and government regulations in place at the time of the event apply. Entry is contingent upon the participant being able to fully comply with these rules. The hygiene rules can be requested from us.


Right of Withdrawal for Consumers

We assume our events are purely professional in nature. Therefore, a statutory right of withdrawal under §§ 312g, 355 BGB is excluded as you are not considered a consumer.

If you are a consumer:

You may revoke your contractual declaration within 14 days in writing (e.g., letter, fax, email) without stating reasons. The period begins upon receipt of this instruction in text form, but not before the contract is concluded. Timely dispatch of the revocation is sufficient to meet the deadline.

Consequences of Revocation:

In case of effective revocation, mutual benefits received must be returned, and any derived benefits (e.g., usage advantages) surrendered. If you cannot return the benefits in full, in part, or only in deteriorated condition, you must compensate us accordingly. This may mean fulfilling your payment obligations up to the time of revocation. Any refund obligations must be fulfilled within 30 days. The period begins with your revocation dispatch; for us, upon receipt.

Special Notice:

Your right of withdrawal expires prematurely if the contract is fully fulfilled on your express request before you have exercised your right of withdrawal.
